Terms And Conditions

Please review these Terms and Conditions carefully prior to completing your registration, submitting an abstract, or making a payment for the 13th International Working Conference on Stored Product Protection (IWCSPP 2027) scheduled for 01 – 05 March 2027 at the HITEX Exhibition Centre, Hyderabad, India. By accessing our website (iwcsppbookings.in) or purchasing a delegate registration pass, you agree to be bound by the terms outlined below.

1. Registration & Pass Categories

  • Binding Registration: Completing the registration form and issuing payment represents a binding contract between the delegate/organization and the Conference Organizing Committee.
  • Eligibility Verification:
    • Student Passes: Registrants under the Student category (USD $200) must submit valid institutional verification (student ID or official letter of enrollment) at check-in. Failure to provide proof will require payment of the standard Academic fee difference.
    • Accompanying Person Passes: Valid strictly for non-scientific social functions, the welcome reception, the gala banquet, and cultural tours. Accompanying persons are not eligible to receive academic certificates or access technical scientific sessions.
  • Non-Transferability: Registration passes and personal QR codes are strictly non-transferable without prior formal written consent from the conference secretariat.

2. Payment Currency & Processing (Cashfree Gateway)

  • Currency of Settlement: All registration fees are listed and billed in US Dollars (USD). International attendees and domestic participants will be settled through Cashfree Payment Gateway using end-to-end 256-bit encryption.
  • Payment Validation: A registration is only marked as PAID upon confirmation by Cashfree’s secure payment verification API. Unsettled or pending transactions will not be granted conference access or invitation documentation.
  • Taxes & Invoicing: Invoices generated are computer-generated official receipts compliant with statutory taxation and service regulations.

3. Cancellation & Refund Policy

  • Standard Cancellation:
    • Written cancellation requests received on or before November 30, 2026 will receive an 80% refund (subject to a 20% administrative handling and banking charge).
    • Cancellations received between December 01, 2026 and January 15, 2027 will receive a 50% refund.
    • No refunds will be granted for cancellations received after January 15, 2027 or for non-attendance (no-show) at the venue.
  • Visa Denial Protection: If an international delegate’s visa application is rejected by the Government of India consular authorities despite timely submission, a refund (less banking/transaction fees) will be processed upon presentation of the official visa refusal letter at least 15 days before the event.
  • Refund Processing: Approved refunds will be credited back via Cashfree to the original payment source (card, bank account, or wallet) within 14–21 business days.

4. Visa Support & Government Clearances

  • The Secretariat will issue official visa invitation letters and nodal clearance certificates strictly to registered delegates with completed, confirmed payments.
  • The conference committee cannot influence or expedite consular processing times. Delegates are strongly urged to apply for an Indian e-Conference Visa at least 6 to 8 weeks in advance.

5. Scientific Abstracts & Intellectual Property

  • Originality: Authors submitting research papers and abstracts certify that their submissions represent original, unpublished scientific research.
  • Publication Rights: By submitting, authors grant the 13th IWCSPP Organizing Committee a non-exclusive license to publish accepted abstracts in the official Conference Proceedings Book, digital repositories, and program schedules.
  • Presentation Requirement: At least one author must be registered and attend the session (oral or poster) for the abstract to remain part of the official conference proceedings.

6. Venue Security & Badge Access Control

  • Badges: Official conference badges with encrypted check-in QR codes must be worn at all times throughout the HITEX Exhibition Centre premises.
  • Admission Rights: The organizing secretariat and venue security reserve the right to deny admission or remove any attendee who displays disruptive, unprofessional, or unsafe behavior without liability or refund.

7. Force Majeure & Liability

  • The conference organizers shall not be held liable for failure or delay in delivering the event due to causes beyond reasonable control, including but not limited to acts of God, extreme weather, natural disasters, national emergencies, war, or governmental travel restrictions.
  • In the event of physical postponement or transformation to a virtual/hybrid format, confirmed registrations will be rolled over to the revised schedule.
  • Attendees are solely responsible for their travel arrangements, personal health insurance, and personal belongings while at the conference venue.

8. Amendments to Terms

The organizing secretariat reserves the right to modify these terms as needed to satisfy statutory requirements, public safety guidelines, or operational considerations. Any modifications will be updated on this page.
